Cushman &Wakefield seeks a detail-oriented Project Admin / Document Controller to support our property management and project execution teams. This role is pivotal in ensuring the smooth coordination and documentation of various property-related initiatives across our portfolio in Kota, Rajasthan and Batam, Riau Islands. The successful candidate will play a key role in maintaining project integrity and facilitating efficient communication between stakeholders.

About the Role

The Project Admin / Document Controller will provide essential administrative and organizational support to project managers and property teams. This position involves managing project documentation, coordinating schedules, and ensuring compliance with internal procedures and regulatory requirements. The role requires strong organizational skills, meticulous attention to detail, and the ability to work effectively within a dynamic team environment.

Key Responsibilities

  • Coordinate project timelines, schedules, and resource allocation for assigned projects.
  • Manage and maintain accurate project documentation, including contracts, specifications, and change orders.
  • Ensure all project-related documents are properly filed, tracked, and accessible to relevant personnel.
  • Support the preparation and distribution of project reports and correspondence.
  • Assist with vendor and contractor coordination, including procurement and contract administration.
  • Perform quality control checks on project documentation for completeness and accuracy.
  • Collaborate with project managers, engineers, and other stakeholders to resolve documentation issues.
  • Maintain organized project filing systems, both physical and digital.

Requirements

  • High school diploma or equivalent; associate's degree or bachelor's degree in business administration, real estate, or a related field preferred.
  • Minimum of 2 years of experience in administrative support, project coordination, or document control within a real estate, construction, or property management environment.
  • Proven ability to manage multiple tasks and priorities in a fast-paced setting.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
  • Strong communication and interpersonal skills to interact effectively with diverse teams.
  • Ability to work independently and as part of a collaborative team.
  • Understanding of basic project management principles and real estate processes.
