We are seeking a motivatedReservations Agent to join our dynamic team at External Listings, based in the vibrant location of Bali. In this position you will be the primary point of contact for guests seeking accommodation, handling incoming reservation inquiries received via phone, fax, and mail, and ensuring a seamless booking experience from initial contact through final confirmation.

About the Role

The role sits at the heart of our guest services operation, requiring a blend of attentive listening, problem‑solving ability, and a keen eye for detail. You will assess each guest’s preferences, recommend suitable room types, and coordinate with the front‑desk and housekeeping teams to secure accurate allocations. Successful performance contributes directly to occupancy rates and guest satisfaction, supporting the broader business objectives of External Listings.

Key Responsibilities

  • Process all reservation requests, modifications, and cancellations received through telephone, fax, and email communications.
  • Verify guest identity and reservation details, ensuring compliance with policy and security protocols.
  • Identify special guest requirements, such as accessibility needs or preferred amenities, and propose appropriate room categories.
  • Maintain an up‑to‑date inventory of available rooms, updating the reservation system in real time.
  • Communicate availability and pricing information clearly, providing quotes and confirming bookings.
  • Initiate follow‑up communications to confirm reservations, address changes, and resolve any issues promptly.
  • Collaborate with associated departments to arrange ancillary services, including airport transfers, early check‑in, and late checkout requests.
  • Document all interactions and transactions within the reservation database, ensuring accurate record‑keeping.

Requirements

  • Proven experience in a customer‑facing reservation or front‑desk role, preferably within the hospitality sector.
  • Strong verbal and written communication skills, with fluency in English; additional language proficiency is advantageous.
  • Excellent organizational abilities and a meticulous approach to data entry and record management.
  • Ability to multitask efficiently in a fast‑paced environment while maintaining a high level of accuracy.
  • Proficiency with reservation management software and standard office applications.
