About the Role

This role involves providing high-level administrative and operational support to senior leadership within the Population Health Office. Key responsibilities include managing complex calendars, coordinating meetings and travel arrangements, preparing correspondence and reports, and handling sensitive information with discretion. The Associate Executive will also support various departmental functions, ensuring seamless workflow and effective communication across the office.

Key Responsibilities

  • Manage complex schedules and calendars for senior leadership, including coordinating meetings, appointments, and travel arrangements.
  • Prepare and draft correspondence, reports, presentations, and other documents as required.
  • Coordinate meetings, including room bookings, catering, and participant logistics.
  • Handle sensitive information and maintain confidentiality in all interactions.
  • Provide operational support to various departmental functions, ensuring efficient workflow.
  • Assist with project coordination and administrative tasks as assigned.
  • Maintain accurate records and databases related to office activities and communications.

Requirements

  • Proven experience in a similar administrative or executive support role, demonstrating strong organizational skills.
  • Excellent written and verbal communication skills, with the ability to interact professionally with senior leadership and diverse stakeholders.
  • Proficiency in standard office software (e.g., Microsoft Office Suite) and experience with scheduling and communication platforms.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
