About the Role

As the Executive Assistant & Office Manager, you will serve as the indispensable right-hand support to the Group CEO, managing a wide range of administrative, logistical, and operational tasks. Your primary focus will be on maintaining the highest level of organization and efficiency, ensuring the CEO can focus on strategic leadership. You will be responsible for managing the CEO's schedule, handling communications, and overseeing the day-to-day administrative functions of the office, contributing directly to the company's stability and success.

Key Responsibilities

  • Provide comprehensive administrative support to the Group CEO, including managing communications (messages, calls, emails), scheduling meetings, and preparing materials.
  • Organize and maintain all financial documentation, including invoices, receipts, and supporting documents, ensuring monthly accounting processes are accurate and timely.
  • Ensure all financial records are complete, accurate, and submitted without delay, contributing to the company's financial integrity.
  • Offer direct support to the Human Resources department, assisting with various HR-related administrative tasks and initiatives.
  • Maintain a well-organized and efficient office environment, managing supplies, logistics, and vendor relationships.
  • Act as a key point of contact for internal and external stakeholders, representing the CEO and the company professionally.

Requirements

  • Proven experience in a similar executive assistant or office management role, demonstrating strong organizational skills and attention to detail.
  • Exceptional communication skills, both written and verbal, with the ability to interact effectively with senior leadership and diverse stakeholders.
  • Proficiency in standard office software (Microsoft Office Suite, email systems) and financial record-keeping practices.
  • Ability to work independently, manage multiple priorities, and adapt to a fast-paced, dynamic environment.
  • A proactive approach to problem-solving and a commitment to ensuring nothing is missing and nothing is late in all assigned tasks.
