In this position you will join a prominent global law firm in Singapore as a Legal Secretary, contributing to a collaborative environment that values high performance, teamwork, and professional excellence. Your role will provide essential administrative support to lawyers and practice groups, ensuring the smooth operation of legal matters.
Role Overview
The legal secretary serves as a key liaison between attorneys, clients, and the court system, handling time‑sensitive tasks that require precision, discretion, and strong organizational skills.
Key Responsibilities
- Prepare, format, and manage legal documents, including pleadings, contracts, and correspondence, with strict attention to detail.
- Maintain and organize case files, indexes, and evidence logs, ensuring easy retrieval and compliance with confidentiality standards.
- Coordinate meeting schedules, court filings, and deadlines, serving as a calendar administrator for attorneys.
- Conduct legal research on statutes, regulations, and case law to assist lawyers in case preparation.
- Answer incoming calls and inquiries, directing them to appropriate personnel while maintaining a professional reception environment.
- Process invoices, bills, and expense reports, supporting the firm’s financial operations.
- Liaise with external parties such as courts, government agencies, and opposing counsel on routine matters.
- Support the implementation of document management systems and electronic filing protocols.
Qualifications and Skills
- A diploma or degree in Legal Studies, Law, Business Administration, or a related discipline.
- Minimum of two years of administrative experience, preferably within a law firm or professional services environment.
- Familiarity with legal terminology, document preparation, and basic legal research.
- Proficiency in Microsoft Office applications and experience with case management software.
- Strong written and verbal communication skills, with the ability to draft clear and accurate correspondence.
- High level of confidentiality and ethical integrity when handling sensitive client information.
- Ability to manage multiple priorities, work under pressure, and adapt to a fast‑paced setting.
